Overview

Summary of Responsibilities:

The Real Estate Equity Investments Specialist assists with ERG’s investment objectives by supporting the Real Estate Equity Investments Team. The Real Estate Equity Investments Specialist will work closely with real estate investment professionals and project managers to organize, coordinate, and support administration of day-to-day real estate investment related activities. Ensures documents/records are maintained according to ERG’s Books and Records Policy and WS&FG Retention Schedule. Provides assistance to the Real Estate Equity Investments Team for ad hoc projects and administrative support. Works with minimal supervision and is responsible for making an established range of decisions, escalating to manager when appropriate and updating manager on a regular basis.

Responsibilities

Position Responsibilities:

  • Performs real estate investment support duties as assigned by manager, real estate investment professionals, and/or project manager(s) including but not limited to real estate investment reporting, projects, managing and tracking documents and alerting interested parties of delays or issues that could impact the investment/project.

  • Ensures projects adhere to frameworks and all documentation is maintained properly for each project.

  • Manages the Real Estate Investment Process ensuring all real estate investment recommendations (debt and equity) are accurate and received by all interested parties within ERG and throughout the Enterprise in a timely manner, that all approvals/signatures are obtained, and that the related documentation is appropriately archived.

  • Attends meetings and prepares correspondence data including but not limited to memos, reports, letters, and meeting minutes for distribution to real estate investment professionals and project managers as needed.

  • Sorts, prioritizes and distributes incoming materials. Screens all incoming materials to determine completeness and appropriateness.

  • Handles general administrative duties such as answering the telephone, taking messages and responding to questions as needed in a professional manner.

  • Makes travel arrangements in the most cost effective manner, submits expense reports in an accurate and timely manner, and assists in preparing expense reports for corporate approval.

  • Creates and tracks monthly reports including gathering data and organizing information.

  • Assists in saving all real estate investment records.

  • Assists in obtaining approvals of subscriptions, invoices, donations, AFEs, etc.

  • Supports the real estate investment professionals, project managers and team leads with routine and ad-hoc reporting as needed.

  • Takes the initiative to undertake tasks in a manner to improve efficiency and maintain a positive team environment.

  • Assists in the development of project tracking materials and SOP development.

  • Routinely updates SOPs and provides assistance to administrative and support staff and real estate investment professionals, as needed.

  • Acts as point of contact/resource for Dynamo Software and PlanGrid.

  • Assists in updating Excel spreadsheets and PowerPoint presentations for Real Estate Investment Professionals, as needed.

  • Provides back-up to other administrative and support staff, as needed.

  • Performs other duties as assigned by management.

Qualifications

Selection Criteria:

  • Minimum 2-5 years of experience as a Document Coordinator, Administrative Assistant or equivalent experience in Real Estate Development strongly preferred.

  • Experience in managing investment agreements, contracts, draws, and reporting.

  • Proven self-starter with experience coordinating and working on multiple projects simultaneously and completing assigned tasks accurately and on a timely basis, in a fast-paced environment.

  • Demonstrated high level of attention to detail as well as excellent organizational skills. Cite examples of organization and time management methods used to manage or prioritize workload demands.

  • Demonstrated strong verbal and written communication skills with ability to convey information to internal and external customers, at all levels, in a clear, accurate, focused and concise manner.

  • Demonstrated strong analytical skills including identifying, defining and resolving client problems/issues, collecting or interpreting data to establish facts, draw valid conclusions and provide effective and creative resolutions.

  • Demonstrated ability to be professional, presentable, articulate, organized, conscientious, dependable, polished and comfortable in fast-paced environment required.

  • Proven proficient proofreading and editing skills, demonstrating a strong use of the English language to include exemplary knowledge, in verbal and written format, of the elements of grammar, punctuation, diction and spelling proficiency.

  • Proven familiarity with software systems, including document management, record keeping and reporting.

  • Proven experience handling confidential information and correspondence and a familiarity with methods and approaches to maintain confidentiality.

  • Demonstrated commitment to providing a superior level of customer and stakeholder service.

  • Demonstrated ability to read a variety of correspondence, reports and forms and to prepare and analyze data.

Work Setting:

  • Works in an office setting and remains continuously in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.

  • Performs continuous keyboarding work requiring the ability to make repetitive motions of the wrists, hands and/or fingers.

  • Frequently moves around the office to access file cabinets, office machinery, etc. While accessing file cabinets, frequently uses upper extremities to reach by extending hands and/or arms in any direction.

Educational Requirements:

  • Bachelor’s degree or commensurate experience.

Computer Skills and Knowledge of Hardware & Software Required:

  • Excellent MS Office skills (Word, Excel, PowerPoint, Outlook, and Adobe).

  • Experience with Dynamo and PlanGrid preferred.

Certifications & Licenses (i.e. Series 6 & 63, CPA, etc.):

  • None required.

Position Demands:

  • Extended hours required during peak workloads or special projects.
