Overview

Summary of Responsibilities:

Updates and maintains the applicant tracking and onboarding systems for Western & Southern Life.  Identifies areas of improvement and implements solutions within these systems.  Works with some supervision and is responsible to make an established range of decisions, escalating to their manager when necessary and updating their manager on a regular basis.

Responsibilities

Position Responsibilities:

  • Acts as a system administrator of iCIMS, the applicant tracking system (ATS) and other Talent Acquisition-related systems.  Oversees day-to-day system administration and maintenance services to ensure the proper functioning of the systems.
  • Troubleshoots and resolves system issues including but not limited to the following categories: integrations, system correspondence, forms and templates, requisitions, onboarding, user management, etc.
  • Makes recommendations for improvement to the system based on stakeholders needs and implements, tests, and rolls out approved changes.
  • Serves as the main point of contact for system questions and issues for field and home office associates.
  • Creates and maintains training documents for the ATS and develops troubleshooting tools. Trains new employees on the ATS and other Talent Acquisition systems and trains existing employees on any upgrades to the ATS.
  • Manages the steps of the pre-hire onboarding process associated with moving candidates into internal HRIS systems 
  • Serves as a backup to the Talent Acquisition Coordinator.
  • Performs other duties as assigned by management.

Qualifications

Selection Criteria:

  • Proven ability to grasp and apply computer and other technical concepts.
  • Proven knowledge of commonly used concepts, practices and procedures in Talent Acquisition.
  • Demonstrated knowledge and use of an applicant tracking system.
  • Demonstrated strong analytical and thinking skills, including demonstrated work experience on identifying, quantifying and providing creative solutions to complex problems. Must be able to easily grasp and communicate complex ideas. 
  • Demonstrated excellent verbal and written communication skills with proven ability to convey information to internal and external customers in a clear, focused and concise manner.  
  • Demonstrated ability to effectively interact and communicate with all levels of staff and management and influence from a distance.
  • Must demonstrate a strong attention to detail with excellent organizational skills.  Expected to cite examples of organization and time management/methods used to manage or prioritize workload demands.

Work Setting:

  • Works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
  • Requires visual acuity to read a variety of correspondence, reports and forms, and to prepare and analyze data in an accurate, neat and thorough manner.
  • Performs continuous keyboarding work requiring the ability to make repetitive motions of the wrists, hands and/or fingers.
  • Requires the communication ability to express or exchange accurate information easily.

Educational Requirements:

  • Associate’s or Bachelor’s degree in human resources or other equivalent field required.

Computer Skills and Knowledge of Hardware & Software Required:

  • Proficient knowledge of word processing and spreadsheet applications.
  • Basic knowledge of database applications.
  • Administrative experience with an ATS or HRIS systems.

Certifications & Licenses (i.e., Series 6 & 63, CPA, etc.):

  • None required.

Position Demands:
