Overview

Summary of Responsibilities:

Plans, organizes, and executes a wide range of support activities for the Talent Development department. Manages all aspects of the learning management system (LMS) for Talent Development, training calendars, training materials, continuing education and the day-to-day operations of the department. Works with minimal supervision and is responsible for making an established range of decisions, escalating to Manager when necessary and updating Manager on a regular basis.

Responsibilities

Position Responsibilities:

  • Serves as Talent Develoment’s subject matter expert and platform administrator for the LMS. Troubleshoots and resolves escalated system issues, works with team members to formulate solutions, tests changes and system enhancements and communicates updates to the team. Manages the processing, analysis, and reporting of quarterly and strategic metrics. Develops and runs reports  to recognize trends in key performance indicators, identify cause and effect and provide ideas to enhance our learning offerings.
  • Provides administrative support for all Talent Development training programs by managing the training,classroom and Enterprise Hall calendars, classroom set-up, technology and resources, participant enrollment and ensures there is an adequate supply of courseware at all times. Manages the seat tracking information for training programs purchased through vendors.  Manages the online documentation and organization of training materials, ensuring that course resources are efficiently organized and easily accessible to all facilitators. 
  • Assists with enhancements and updates to training materials including Leader and Participant Guides, PowerPoints, wall charts, e-Learning courses and other associated content. Assists with the design and development of marketing materials for training programs. Partners with SMEs to design and develop learning content specific to the Company’s policies, functions and processes using tools such as Articulate 360.
  • Manages and executes our continuing education programs, including tuition reimbursement and industry education. Accurately reviews, approves and processes applications, exam requests, enrollments, testing material orders, reimbursements and educational achievements. Maintains accurate associate records and adheres to record retention requirements. Develops and executes a marketing and communication plan for these programs and maintains industry education vendor relationships.
  • Manages the day-to-day department operations such as conducting timely reviews and accurate updates of procedures and quarterly intranet pages updates. Coordinates and facilitates OpEx Huddles and schedules team meetings.
  • Supports leadership with creating the annual budget forecast.  Processes all invoices and expenses accurately and timely. Ensures accurate records of invoices, expenses and vendor agreements and contracts. Provides monthly updates on expenses and the status of the budget to leadership.
  • Serves as first point of contact for associates as they enter the Talent Development office, call with questions or request information via email. Provides timely and professional customer service. Triages questions and directs requests to the appropriate subject matter experts (SMEs).
  • Performs other duties as assigned by management.

Qualifications

Selection Criteria:

  • Proven experience coordinating multiple programs and projects and supporting multiple individuals in a professional setting where decision-making aligned with company policies/processes and self-initiative were demonstrated.
  • Proven strong attention to detail, excellent organization skills and project experience contributing to an effective project team. Proven ability to produce deliverables on or ahead of schedule accurately. Expected to cite examples of organization and time management methods used to manage or prioritize workload demands.
  • Demonstrated strong verbal and written communication skills with the ability to convey information to internal and external customers in a clear, accurate, focused and concise manner. 
  • Demonstrated ability to document procedures and activities in a manner that is understandable to others and prepared using a prescribed format. Possesses proficient proofreading and editing skills, demonstrating a strong use of the English language, in verbal and written format, in the elements of grammar, punctuation, diction and spelling proficiency. 
  • Demonstrated ability to make sound decisions, identify and quantify problems, provide effective resolutions and appropriately models the culture and norms of the organization.
  • Proven proficiency in preparing reports, compiling statistics, researching and analyzing data, and making recommendations.
  • Demonstrated experience providing exemplary customer service including maintaining a calm and professional demeanor when handling demanding situations, effectively articulating complex technical information via phone/written communications and demonstrating the ability to deliver an adverse response in a positive manner.
  • Proven experience handling confidential information and correspondence and a familiarity with methods and approaches to maintaining confidentiality.
  • Demonstrated team building skills with the willigness to help others.

Work Setting:

  • Works in an office setting and remains continuously in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
  • Performs continuous keyboarding work requiring the ability to make repetitive motions of the wrists, hands and/or fingers.
  • Frequently moves around the office to access file cabinets, office machinery, etc.  While accessing file cabinets, frequently uses upper extremities to reach by extending hands and/or arms in any direction.

Educational Requirements:

  • High school diploma. Bachelor’s degree preferred.

Computer Skills and Knowledge of Hardware & Software Required:

  • Proficient in word processing, excel spreadsheets, presentation software, database applications, and talent management systems.

Certifications & Licenses (i.e., Series 6 & 63, CPA, etc.):

  • None required.

Position Demands:

  • Extended hours required during peak workloads or special projects.
