Overview

Supports the coordination and execution of all Fort Washington Private Equity team activities, including investment administration, internal and client meetings, communications, event planning, travel and reporting. Administers all investments, including CRM system logging, due diligence coordination and documentation management. Provides assistance to the Investment, Finance & Accounting, and Investor Relations Teams for ad hoc projects and administrative support. Works with some supervision and is responsible for making a minimal range of decisions, escalating to Manager when appropriate and updating Manager on a regular basis.

Responsibilities

What you will do:

  • Maintains the Investment CRM system. Regularly updates the system with conversations from general partners, investor notices, new account information and changes to existing contact information. Provides weekly investment reports to Private Equity Team. Communicates issues encountered to management. Recommends appropriate changes and acts as liaison with Operations, Legal, Finance & Accounting, Custodial Partners, and other vendors as necessary to process account updates and resolve client and general partners' issues.
  • Manages the execution of Amendments, Side Letters, Transfer Assignments and other client and investment documents or changes. Collaborates with Western & Southern Law and external advisors (attorneys, accountants, consultants, etc.) and recommends changes to the process where necessary.
  • Supports execution of Finance & Accounting activities, including compiling investment-related support for annual audits, collecting and uploading underlying investment K-1s for tax preparers, preparing check requests for tax payments, and mailing Federal and state tax returns for FW Capital funds.
  • Provides administrative support to the Private Equity Team. Coordinates and plans the day-to-day investment activities for the Private Equity Team. Serves as primary contact and liaison between the Firm and General Partners, Consultants, Agents and Limited Partners. Supports and coordinates Private Equity Team event planning and travel management. Plays a key role in the Operational Excellence project to streamline the administration of the private equity program.
  • Arranges investment event planning, including organizing on-site visits, due diligence trips, conference calls, social events and web-based meetings for senior team members, clients, consultants, general partners and prospects.
  • Serves as primary backup for Private Equity event planning, and facilitates major client events, including the Private Equity Annual Meeting and Investor Conference and Limited Partner Advisory Meetings. Assists in organizing ad hoc limited partner and general partner on-sites, social events and web-based meetings for senior team members, clients, consultants and prospects.
  • Supports Investor Relations' activities, including maintaining physical client files and updating the Client CRM system with new prospect contacts, LP interactions and account information. Assists with the distribution of materials to limited partners. Principally responsible for monitoring the LP inbox. Responsible for responding to regular investor inquiries on a timely basis, while acting as a liaison with Investor Relations, Operations, and Finance & Accounting as necessary to process requests and resolve investor issues.
  • Prepares meeting materials, arranges associates' schedules and develops PowerPoint presentations for internal and external prospect and client meetings. Ensures presentations are compliant with all regulatory requirements.
  • Supports and documents the investment review and approval process, including planning and managing the agendas for staff meetings, deal team meetings and investment committee meetings. Coordinates the processing of all investment-related documents, including nondisclosure agreements, investment recommendations, subscription documents, amendments and side letters.
  • Acts as the primary contact for ad hoc investment data and/or reports from Marketing, Business Development and Client Service.
  • Updates and maintains the Private Equity Process and Compliance Manual.
  • Interacts routinely with senior team members, including FWIA Executive Management, Portfolio Management, Business Development, Finance & Accounting, Investor Relations, Operations, Legal, Compliance and Marketing.
  • Performs other duties as assigned

Qualifications

  • Demonstrated strong verbal and written communication skills with ability to convey information to internal and external customers, at all levels, in a clear, accurate, focused, and concise manner.
  • Demonstrated ability to document procedures and activities in a manner that is understandable to others and prepared using a prescribed format.
  • Proven proficient proofreading and editing skills, demonstrating a strong use of the English language to include exemplary knowledge, in verbal and written format, of the elements of grammar, punctuation, diction and spelling proficiency. Strong social interaction skills on the telephone and in person.
  • Demonstrated high level of attention to detail as well as excellent organizational skills. Cite examples of organization and time management methods used to manage or prioritize workload demands.
  • Proven familiarity with the financial industry, specifically private equity partnerships, advisory firms and/or high net worth individuals preferred.
  • Demonstrated strong analytical skills, including identifying, defining and resolving client problems/issues, collecting or interpreting data to establish facts, draw valid conclusions, and provide effective and creative resolutions.
  • Demonstrated excellent interpersonal and team participation skills.
  • Exceptional knowledge and proficiency of Microsoft Office and CRM applications.

Work Setting/Position Demands:

  • This position works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings. Requires visual acuity to read a variety of correspondence, reports and forms, and to prepare and analyze data.This position requires continuous keyboarding work requiring the ability to make repetitive motions of the wrists, hands and/or fingers.This position will frequently move around the office to access file cabinets, office machinery, etc. While accessing file cabinets, this position will frequently use upper extremities to reach by extending hands and/or arms in any direction.Extended hours required during peak workloads or special projects.

Travel Requirements:

  • 5% travel Local travel to private equity activities generally. No overnight stays required.
